Business Wi-Fi Dead Zones: What to Check Before Adding an Access Point
A weak Wi-Fi area does not automatically mean you need another access point. Sometimes the real problem is placement. Sometimes it is interference, a damaged cable, a slow uplink, an overloaded switch, a device that will not roam, or an internet problem that only looks like Wi-Fi.
For a Boston-area small business, the useful question is not simply how far the signal reaches. It is whether staff can use the devices and applications they need in the places they work. Before buying hardware, use this checklist to describe the failure and discuss the next step with your IT provider.
Start with observations, not live configuration changes. Do not reset equipment, move cables, change radio settings, or run disruptive scans on a working business network without an authorized plan.
Start with the business symptom
Do not begin with a product model. Begin with what people cannot reliably do.
- Which room, hallway, floor, workstation, camera, tablet, or phone is affected?
- Does the device disconnect, remain connected but become slow, or fail to reach only one service?
- Is the problem constant, or does it appear at a certain time of day?
- Does it affect one device, one type of device, or everybody in the area?
- Did it begin after a move, renovation, equipment change, outage, or configuration change?
- What business work is interrupted when it happens?
A useful problem statement might be: “The front desk tablet and two phones stay connected but calls break up in the rear rooms after noon.” That is much more actionable than “the Wi-Fi is bad.”
A lesson from a C. Evan Solutions project plan
In one C. Evan Solutions project-planning record, a replacement device depended on Wi-Fi and was reported to have an unreliable connection. The proposed solution included an additional access point with a wired uplink. The plan still required checks of the actual device, power, cable path, and existing network before treating that proposal as the right fix.
The practical lesson is that replacing equipment can change what the network needs to provide. A device powering on or showing “connected” is not the same as the business function working. Define the task that must succeed, check the connection it depends on, and test that task after any authorized change.
This is a planning lesson, not a verified installation or before-and-after performance result. The same distinction helps a business owner ask a better question: “What evidence would show that this access point solves our specific problem?”
Coverage is only one possible cause
A dead zone is an area where the wireless link is too weak or inconsistent for the required work. But several other problems create similar symptoms:
- Interference or congestion: nearby networks, competing radios, crowded channels, or heavy airtime use can reduce reliability even when the signal indicator looks acceptable.
- Building materials and layout: floors, masonry, metal, utility spaces, equipment, and the orientation of the access point can change the installed result.
- Client-device behavior: one laptop, phone, camera, scanner, or older device may use different radios or hold onto a distant access point longer than expected.
- Cabling or switching: a damaged cable, incorrect switch port, power problem, negotiation issue, or constrained uplink can make a healthy radio feel slow.
- Internet or service problems: a provider outage, DNS problem, cloud-service delay, or firewall rule may affect an application without being a coverage failure.
This is why the number of bars on one phone is not a complete network test.
Measure the failure area before choosing hardware
Note the rooms and normal routes where staff encounter the problem. If safe and appropriate, compare ordinary use on another authorized device without moving fixed equipment or disturbing business work. Record where the problem begins, what still works, and whether it changes by location or time.
A proper review may compare signal, noise, channel use, retries, latency, roaming behavior, wired uplink state, switch state, and the performance of the business application itself. The useful measurements depend on the network and the affected workflow. A single speed-test screenshot is rarely enough.
Access-point radiation patterns are also not universal coverage promises. The installed building, interference, mounting position, radio settings, and client devices all change the result. Measure before, during, and after the change.
When phone calls fail in a basement or back room
If a Boston-area office or property team needs to make calls from a basement, rear room, or another hard-to-cover area, define the calling problem before ordering another access point. A phone loading a website is not proof that the required calling service works there.
Separate three questions: Can the phone reach the business network? Can that network reach the internet? Can the particular calling service complete the call? A carrier phone call, an app-based call, and a staff messaging app are different workflows. Record which one fails rather than treating them all as the same Wi-Fi symptom.
For example, Apple’s Wi-Fi Calling guidance requires carrier support and the feature to be enabled on the intended line. The phone’s ordinary Wi-Fi connection indicator alone does not confirm that Wi-Fi Calling is in use. Ask the authorized device owner or technician to check the relevant carrier/device requirements; do not assume a network hardware purchase will enable the service. See Apple’s Wi-Fi Calling guidance.
- Identify the real task: an ordinary incoming call, outgoing call, app call, message, or another agreed business function.
- Use the affected device: note its model and calling service without collecting private call history, account credentials, or message content.
- Describe where it fails: stationary in one room, while walking between areas, or only at busy times.
- Separate observations: record whether ordinary browsing works, whether the intended calling feature is available, and whether the call itself succeeds.
- Agree on a safe test: use a willing participant and a non-emergency call. Never call emergency services as a connectivity test.
If calls work while stationary but fail as staff move, ask the network technician to examine client behavior and transitions between access points. Ubiquiti’s connectivity and latency guidance treats client compatibility, placement, interference, and site measurements as relevant factors. That is a reason to investigate, not an instruction to enable a roaming feature or raise transmit power blindly.
Check the wired path
If the access point uses a wired uplink, ask the authorized technician to verify that path before assuming the radio is at fault. These are diagnostic questions, not instructions to unplug equipment or change switch settings:
- Identify the access point, switch, gateway, and management system involved.
- Confirm which switch port and cable feed the access point.
- Check whether the access point is receiving stable power.
- Review link speed, errors, port configuration, VLAN assignment, and recent changes.
- Confirm that the gateway and internet connection are healthy from a wired device.
A new access point connected through an unhealthy cable or constrained switch path will not repair that path.
Decide whether the next access point should be wired
A wired access point usually gives the designer a clearer and more stable uplink than adding another wireless hop. Wireless mesh can be useful when cabling is impractical, but it shares radio resources with the backhaul and is more dependent on the quality of the connection between access points.
The correct choice depends on the building, available cable routes, switch capacity, power, network design, and required workflow. An extender placed inside the dead zone may have the same weak connection it is supposed to repeat.
Do not make a risky network swap without a recovery path
Business networks often support more than laptops. They may also carry phones, cameras, printers, access systems, storage, guest devices, and vendor-managed equipment. Replacing a switch, network card, gateway, or core connection without current documentation and a rollback plan can interrupt systems that were not part of the original complaint.
Before a consequential change, identify the current topology, configuration access, backups, dependencies, maintenance window, and safe way back. When important data or the only working copy of a system is involved, stabilize the backup or recovery path before treating a speed upgrade as the first priority.
When adding an access point is the right move
An additional access point becomes a reasonable candidate when the evidence shows that:
- the required area has consistently weak or unreliable coverage;
- the affected devices and workflow have been identified;
- the wired network, internet service, and relevant application are not the primary failure;
- the proposed location can serve the actual space;
- power, cabling, switching, management, channel planning, and network separation are accounted for; and
- the finished result will be measured instead of assumed.
The goal is not to install the greatest number of radios. The goal is reliable service where the business actually needs it.
Agree on what a successful repair must demonstrate
Before work begins, choose a small set of acceptance checks that match the complaint. For a phone-call problem, that might mean an agreed incoming and outgoing non-emergency call from each required area using the affected phone. For a work app, test the actual authorized task rather than replacing it with a speed test.
- Record the device, area, approximate time, task, and starting symptom.
- Identify the authorized change and its safe rollback path.
- Repeat the same task after the change in the same required areas.
- Check ordinary use of other affected business systems without disrupting them.
- Write down what passed, what remains unresolved, and who owns any carrier, internet-provider, application, or cabling follow-up.
A successful test is evidence for those conditions, not a guarantee of uninterrupted coverage everywhere. If the symptom only appears during a busy period, a quiet-room test leaves that part of the problem open. This keeps the scope honest and makes the next decision easier.
What to prepare for an onsite Wi-Fi visit
You do not need to create a formal network diagram before asking for help. These items make the first visit more useful:
- the exact rooms or routes where service fails;
- two or three affected device examples;
- the time and frequency of the problem;
- equipment make and model, if safely readable without opening cabinets or disturbing cables;
- the internet provider and any vendor-managed equipment;
- known switch, gateway, and access-point locations;
- recent changes or failed troubleshooting steps; and
- a reliable person who can provide approved access during the visit.
Do not email passwords, recovery codes, MFA codes, private keys, or full network exports in an initial request.
Keep security-system locations, floor plans, camera views, private labels, and network diagrams out of the initial message too. Any sensitive material needed later should use an agreed secure exchange.
Frequently asked questions
Will a stronger access point fix every dead zone?
No. Coverage depends on the building, placement, interference, radio settings, client devices, and the wired path. More transmit power also does not guarantee that a small client device can communicate back reliably.
Is mesh the same as a wired access point?
No. A meshed access point uses a wireless link for some or all of its uplink, while a wired access point uses Ethernet or another wired path. Either can be appropriate, but they have different placement and capacity constraints.
Why can Wi-Fi show full bars and still feel slow?
The display is only a rough view of one part of the connection. Interference, airtime use, retries, roaming, a constrained wired uplink, the internet provider, DNS, or the application itself can still limit the workflow.
Do we need a managed-service contract to fix business Wi-Fi?
No. A business can begin with a defined diagnostic visit, a coverage review, or a specific cleanup project. Ongoing support should be discussed only when the actual environment and operating needs justify it.
